Call for Volunteers

The California Institute of Technology (Caltech), home of the Jet Propulsion Laboratory (JPL), is delighted to invite students and organizations from Pasadena and the surrounding area to volunteer at the 42nd COSPAR Scientific Assembly which we are honored to host on behalf of Committee on Space Research (COSPAR) and the US National Academy of Sciences in beautiful Pasadena, California, on 14-22 July, 2018.

To make the Assembly a great success we depend on local assistance from approximately 40 – 50 students or other volunteers with good English language skills. Volunteering is a great learning experience, and an opportunity to network, and to acquire insight into the operations of a large scale Assembly.

Volunteers for COSPAR 2018 are the first contact for many of the attendees. Their critical role is to welcome foreign participants and to foster a spirit of helpfulness and hospitality.

In return for volunteer services, COSPAR 2018 gladly offers the following benefits:

  • Complimentary food & beverage during volunteer shifts
  • A certificate of participation
  • Complimentary registration when a minimum of 3 shifts of 8 hours are confirmed throughout the Assembly

The following volunteer positions are available during COSPAR 2018:

  • Registration Desk Representative – Register participants for the Assembly, distribute delegate bags and Assembly information, etc.
  • Host/Hostess for Scientific Session – Ensure the smooth running of the session, assisting the speaker where required, session attendance tracking etc.
  • Host/Hostess for Social Events – Assist together with ICS staff whenever help is needed
  • Exhibit Hall Information Representative
  • Assist together with ICS staff to ensure smooth running of the Exhibition
  • Poster Session Representative – Assisting the presenters where required
  • Assembly Bag preparation

Upon confirmation of local volunteers, a volunteer training manual will be provided to each individual, as well as a volunteer contract that must be signed by the volunteer and an academic supervisor or employer. The volunteer manual outlines all of the responsibilities associated with their assigned roles and their scheduled volunteer shifts during the Assembly. We will also conduct one on-site training session before the start of the Assembly to ensure all volunteers are confident with the facility and their important role in the success of COSPAR 2018.
